Job DetailsLevelEntryJob LocationLatin Academy of Recording Arts & Sciences - Miami, FLPosition TypeFull TimeThis is a temporary to hire position with the potential for becoming regular, full-time after successfully completing a 90-day assessment period.WHO WERE LOOKING FORAssistant will support the Membership Team in providing an excellent experience through stellar customer service and data management. This assistant must be organized, detail-oriented, and data-savvy, as well as have the flexibility and the ability to prioritize new tasks as they come in. The position requires the utmost care in customer service and discretion.WHAT YOULL DOAnswer high volume of member calls, emails, and voicemails in a timely manner to assist with account maintenance, new member submissions, requalification requirements, voting assistance, general membership related questions, and moreSupport team with verification of member music credits, distribution, and career substantiation through research and calling references, as neededWork with team to manage logistics for all membership mailings, emails, and benefit fulfillmentOrder and maintain office supplies for Membership, as well as provide any general administrative needs for the team (processing of invoices, checks, mail, pouch, etc.) Assist with general administrative duties of the Membership Department and of the Chief of Awards, Membership & Preservation OfficerScheduling meetings for the team and sending meeting invites to attendeesEnsure the database is being maintained accurately and meeting desired expectationsTroubleshooting any issues that may arise with the technical support teamHelp the Membership and Awards teams during the Awards process Other duties as assignedSKILLS & EXPERIENCE3 years of experience as an Administrative AssistantExcellent communication skills, developed through experience in customer serviceFluent bilingual English/Spanish Portuguese knowledge a plusGood computer literacy of MS Office (Outlook, Word, Excel, PowerPoint)Experience working with CRM (Customer Relationship Management) databasesKnowledge of and basic experience with Latin music and its players Adaptability to work in fast-paced environmentsPHYSICAL DEMANDS FOR CERTAIN ROLESThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
