Summary

The goal is to manage all aspects of the Sports Shop providing the membership with the highest level of customer service. This position serves as administrative assistant to the Director of Athletics and Director of Tennis with regards to staffing, daily sales reports, and event planning. Assists the Director of Retail in maintaining proper inventory levels, merchandising and general upkeep of Sports Shop. Promotes Tennis, Pickleball, and Sports related activities. Due to the nature of business operation this position must be willing to work flexible days/extended hours including weekends, along with covering vacant Sports Concierge shifts.
Essential Duties and Responsibilities

  • Oversees Sports desk operation by ensuring members and guests are checked in appropriately and processes any applicable fees using point of sale system. Confirms accurate billing of members and guests.
  • Prepares weekly schedule of Sports Concierges and communicates daily desk assignments.
  • Assists Director of Retail with inventory control, restocking of merchandise, and cleanliness of Sport Shop. Notifies Director of Retail of any out of stock items.
  • Assists Director of Tennis with interviewing, hiring, and training of Sports Concierges. Provides support to Sports Concierges to ensure effective performance and growth. Monitors their customer service levels.
  • Plans, directs, and supervises the Sport Shop activities. Implements standard operating procedures to improve department's responsibilities.
  • Prepares articles, publications, flyers, and promotional materials for the Club.
  • Administratively supports the Director of Athletics and Director of Tennis.
  • Assists Director of Tennis with the coordination and execution of Tennis & Pickleball events.
  • Along with Retail team, completes monthly inventory by the deadline assigned by Director of Retail.
  • Carries out all duties and functions of subordinate employees, including opening and closing procedures of Sport Shop. Other Functions
    • Performs other duties as assigned by Director of Athletics and Director of Tennis.
      • Promotes overall positive image of the department.
        • Maintains an efficient and cohesive work environment throughout the entire CORE center.
        • Provides outstanding service to the members and their guests in a professional and courteous manner.
        • Assists members and guests with merchandise questions. Provides product information of all Sports Shop merchandise. Communicates the ability to special order from vendors.
        • Attends all meetings as advised and relays pertinent information.
        • Responds promptly to customer needs and solicits customer feedback to improve service.
        • Enforces all Club rules and regulations, including the dress code.
        • Provides assistance to incoming emails and phone calls regarding court reservations, bookings and court conditions. Gathers messages and communicates with Tennis Professionals any member questions or concerns.
        • Prepares invoices timely for the approval of the Director of Athletics.
        • Promotes activities and functions offered throughout the Club.
        • Demonstrates and reinforces The Ibis Philosophy; the Common Purpose, Core4, and 20 Service Principles.
        • Operates and enforces all guidelines, policies, standards, and constraints as established the company.

          Supervisory Responsibility

          Directly supervises Sports Concierges in the Sports Shop. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.               Qualifications

              To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.               Education and/or Experience

              Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Prior retail and supervisory experience required.

              Language Skills

              Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

              Mathematical Skills

              Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

              Reasoning Ability

              Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

              Computer Skills
              • Computer proficiency, including MS Office, Point of Sale system, court reservations, payroll system, and inventory tracking.

                Certificates, Licenses, Registrations
                • Valid driver's license.

                  • Prior retail experience required

                    • Ability to streamline processes and think progressively
                    • Knowledge of the game of tennis and pickleball
