Position Title: HR Service Desk Team Lead-21-00761- Miami, FL Location : Miami, FL Project Duration : 6 months (Contract) Job Description: Essential Duties and Responsibilities: This position is accountable for achieving individual and team targets within Human Resources Employee Experience area through coaching, goal-setting, and monitoring while creating a supportive employee-focused environment. The position reports to the Manager of HR Assist and is responsible for a team of up to 25 HR Assist Specialists. Manage the daily operations to ensure that the objectives are consistently met such as the required service level in Calls, Emails, and Chat.Ensure resolution time frame and quality customer service. Manage the Team's productivityLead the team into providing a "First Contact Resolution" all the timeSupervise team through a regular performance review and provide regular feedback to the direct lines and to the management. Coordinate and monitor the work of various sub departments such as Crew Assist Administration, Crew Medicals and Crew Concierge, Scheduling, SHRSS/HRIS, Onboarding, and Documents and Visa Processing for returning crews and new hiresImprove processes and policies in support of the Organization goals. Create a culture of continuous improvement by generating innovative ideas and improvement initiativesEnforce departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations and proceduresContinually review internal application systems, procedures and processes to ensure resource and operational efficiencyPlan the coverage to achieve the required staffing. Establish contingency plan coverage for any scheduled downtime, connection issues, weather interruption and etc. Effectively manage the workforce by delegating tasks and responsibilities. Establish work schedules and handover protocols to ensure balanced workload across all team membersAct as liaison to top management. Contribute in the development of strategic plans for operations then implement and manage operational plansCommunicates with HR Center/Crew Office regarding any last minute changes to a travel itinerary, shipboard employee joining date due to an unforeseen delay, etc.Works closely with vendors and other departments on crew related matters to ensure a fast and efficient resolution to any situationFacilitate coordination and communication any concerns that are beyond norms to have this addressed by the Department Managers as appropriateTo stay current with all policies and procedures noted in SQM (Safety & Quality Management), CBA (Collective Bargaining Agreement) and or any other material which pertains to shipboard personnel; and provide any updates to the teamNeeds to be able to work in a fast paced environment with the Managers for any financial decisions to resolve emergency travel situationsGenerate operational governance reports to showcase productivity/utilization, SLA/KPI compliance, Issues/Challenges, and other data essential to the operations management teamTo take on any other duties and responsibilities that may be assigned from time to time.To work outside of normal business hours as needed. Financial Responsibilities: Ability to analyze cost impact for travel needs associated with the movement of personnel within the fleet.Responsible for ensuring best booking practices are being utilized by Travel Services Travel Agents for managing of Travel Budgets shipboard and Shore side. . Qualifications: 4 year degree from an accredited college/university in a related field and/or previous related professional level experience in one or more of the following functions: travel assistance, workforce scheduling, onboarding, recruiting, and employee data management/HRIS.Knowledge of applicable immigration and visa requirements related to seafarers in various geographical areas.Working knowledge of applicable flag state/port state regulations related to seafarers training, licenses and certifications.Ability to read/write English in order to understand/interpret written procedures and emails. Previous travel industry experience in a similar role, ideally within the corporate travel sector is a plus.Working knowledge of computers, internet, and navigate within a variety of Microsoft software packages. Requires expertise in a GDS system, preferably Sabre and knowledge and understanding of airline contracts and fares. Knowledge and Skills: Excellent people management and motivational skillsExcellent operations management background with knowledge of risks and compliance, succession planning, and workforce administrationExcellent communication skills both written and verbalGood presentation skills with the ability to communicate verbally/writing in a professional business-like manner with all levels of the organizations to gather and relay information in a multinational environment.Effective time-management, planning, and delivery skills with the ability to work productively and mechanically under strict time constraints and stressful situations.Outstanding organizational skills and attention to detail. Ability to work under pressure while maintaining accuracy and ability to work efficiently without supervisionStrategic thinking skills with ability to see and paint the big picture. Articulate it. Implement.
