Job Description:
The Human Resources Coordinator helps organize, coordinate and
carry out all Human Resource department projects and process for
the organization. The HR Coordinator will work directly with and
assist the Human Resources Team to fulfill a variety of necessary
HR tasks. This individual will need to be bilingual and have the
ability to communicate in both English and Spanish.
Essential Job Functions: (The reason this job exists is to perform
these functions.These functions are performed regularly, seriously
impacts other jobs, and there are a limited number of employees
whom performance of the function can be distributed).
- Support with all incoming traffic by being the first point of
contact for employees on any HR related inquiries.
- Maintain personnel files in compliance with all applicable
legal requirements.
- Assist with the new-hire process including the organizing and
facilitation of Production new hire orientation, creating new
employee files, administering employee handbooks and ensuring all
necessary paperwork is properly filled out, entered and maintained
in the HRIS/Payroll System.
- Responsible for I-9 Administration to include the completion of
I-9 forms, verify I-9 documentation and maintain compliance of all
I-9 files.
- Process Employment Verifications.
- Coordinates posting of open positions through various
recruiting/staffing methods.
- Assist with the recruitment and interview process by
coordinating internal and external job postings, reviewing resumes,
performing telephone interviews, reference checks, print employee
ID, and parking administration.
- Supports with offer letters and onboarding paperwork (e-mails,
background check, and drug test screenings).
- Processes new hires using UltiPro HRIS.
- Processes payroll action forms and ensures proper
approvals.
- Communicates with other employees, departments, administrators,
and applicants for the purpose of providing information and
assistance concerning employment, procedures, personnel records and
related legal requirements.
- Performs recordkeeping and clerical functions (e.g. Scheduling,
copying, scanning, faxing, data entry, etc.) for the purpose of
supporting the needs of the Company.
- Liaison with employees regarding day to day issues and
concerns.
- Support with all employee engagement initiatives.
- Perform all other duties and/or projects as assigned by a
supervisor or manager.
Education/Certification:
- Bachelor's degree, preferred or equivalent in business, Human
Resources or related field.
Experience/ Knowledge Required:
- 1-3 years' HR experience, required.
- Bi-lingual English and Spanish, required.
- Excellent organization, communication and interpersonal
skills.
- Ability to convey a positive and professional image to
applicants and employees.
- Ability to work under pressure while maintaining a positive and
helpful attitude.
- Ability to appropriately handle sensitive and confidential
information.
- Strong time management skills, willing to initiate work
independently when needed.
- Ability to follow directions accurately and without
hesitation.
- Highly organized and efficient worker.
- Attention to detail and ability to multi-task.
- Proficient with MS Office: Word, PowerPoint, Excel.
- Strong business acumen, critical evaluation, ethical practice,
problem solving and strong analytical skills.
