Description
Job Summary Receives and inspects incoming materials, supplies, and
equipment. Enters all data into the Lawson computer system,
researching the appropriate purchase orders, items and quantities.
Corrected attaches asset tags to all capital assets, IT and CE
equipment Organizes and prioritizes packages for delivery or for
storage in Materiel Distribution facility. Receives credit-return
materials from various departments and verifies identifying
information and quantity of materials; placing materials in
inventory or contacts company for return. Works under the
supervision of the Materiel Distribution Supervisor and under the
direction of the Supply Chain Distribution Manager. Minimum Job
Requirements
- High School education.
- Minimum of 2 years or more experience in warehouse
receiving.
- Previous experience with two and four wheel dollies, hand
trucks, electric pallet jacks, forklifts, ladders, and hand
tools.
- Valid Florida driver's license.
Qualifications
Essential Duties and Responsibilities
- Assists Materiel Distribution Inventory Clerk in providing
daily report to Materiel Distribution Supervisor or Manager of
items that shelves are at zero on hand or low stock in an effort to
be pro-active and immediately address stock outs and prevent
complaints. Receives credit-return materials from various
departments and verifies identifying information and quantity of
materials; placing materials in inventory or contacts company for
return. Maintains current knowledge of stock items and there
locations. Assists in rotating and putting away stock in designated
area. Serves as back-up for Materiel Distribution Inventory Clerk
during absence.
- Calls vendors upon receipt of orders with discrepancies,
(packing slip does not match items in package or short ships and
over shipments) in order to maintain accurate receiving in Lawson
system. Scans in Ascent System packing slip/receipts accurately,
daily for system A/P match. Makes sure all packing slips are filed
on a daily basis according to date received in Lawson system.
Purges packing list by the 3rd week of the month to have file
available for new month receipts. Bundles and prepares month end
receipts for offsite record storage.
- Encourages and promotes teamwork, customer service and safety
services, handling all equipment. Contributes to team effort by
accomplishing related results as needed. Communicates consistently
with Materiel Distribution Supervisor or Manager to keep informed
of daily operational issues, concerns, activities, customer issues,
and requests.
- Follows department policy and corrected attaches asset tags to
all capital assets, IT and CE equipment to be tagged uniformly.
Maintains asset tag log appropriately. Prioritizes deliveries and
keeps the supply delivery function operating smoothly oversees that
the MD Distribution Clerks make deliveries accurately and in a
timely manner. Ensures that all in-coming, priority and
refrigerated packages are handled and delivered as priorities.
Oversees MD Distribution Clerk handle palm pilots and delivery
documents accurately, obtain legible signatures of all deliveries
and files documents by day close.
- Maintains a clean, safe, and well-organized work environment.
Make sure that pallets are stack neatly and safely. Controls
traffic in warehouse area, preventing unauthorized personnel from
entering secure area. Coordinates cleaning effort to ensure all
staff participates and warehouse is left neat, well organized and
secure daily. Demonstrates special awareness of potential safety
hazards inherent in parking and moving carts through hospital
hallways. Operates all departmental transportation equipment
(forklifts, pallet jacks, delivery vehicles) carefully and safely.
Consistently uses proper body mechanics and appropriate personal
protective equipment.
- Receives items by unloading vehicles; accepting deliveries;
opening cartons. Verifies items (material, supplies and equipment)
received by inspecting condition of items; comparing count/measure
of items to purchase order and packing list; noting discrepancies.
Searches MMIS system to identify appropriate purchase orders to
match all packing slips and enters all receiving data accurately
into system. If item(s) not on any purchase order, scans and logs
in package into Smart Track system and determines whom it belongs
to and prepare for delivery.
- Receives JIT items by staging and accepting deliveries; opening
cartons, verifies supply items received comparing count/measure of
items to purchase order and packing list; noting discrepancies.
Contacts JIT vendor with any discrepancies on delivery. Sorts JIT
delivery with priority to perpetual inventory locations and
assembling delivery carts with pallets. Sorts Par Level locations
and non JIT deliveries for distribution to departments. In
afternoon takes par levels counts in departments with palm pilot
handheld and sends data for ordering supply items needed for next
day.
- Solves problems and meets objectives before being asked or
required to do so. Accepts change and learns new assignments
quickly. Performs well under stress and in emergency situations.
Responds to concerns from co-workers in a positive, friendly
manner. Communicates problems and opportunities for improvement to
supervisor or others as appropriate. Provides input and suggestions
in a professional manner.
- Uses excellent customer service skills, establishes and
maintains effective working relationships with other employees, and
all members of the general public. Answers Materiel Distribution
telephones and assists customers with questions and requests in a
courteous, appropriate, and timely manner in accordance with
departmental policies. Remains knowledgeable of inventory items in
order to accurately respond to customer questions.
- Utilizes various computer software programs effectively: Smart
Track, PDT Handheld, data entry and producing reports. Can
troubleshoot computer or printers as necessary. Attends in-services
and department meetings as required. Assists in any additional
projects as needed.
Knowledge/Skills/Abilities
- Ability to follow simple instructions to accomplish repetitive
tasks.
- Ability to use computer to enter and access data appropriately
and be able to accurately relay information as requested.
- Basic knowledge in use of computers and printers, and/or
ability to learn appropriate software applications.
- Can function independently with little supervision.
- Knowledge in inventory control, distribution, and
stocking.
- Numerical and Clerical skills adequate to accurately handle
departmental requisitions, purchase orders, and packing
lists.
- Read, write, and communicate in English and ability to
communicate promptly, clearly and courteously with all hospital
staff and customers. Displays pleasant and courteous manners at all
time providing exceptional customer service.
