Job DescriptionJOB TITLE: Live Goods Purchasing and Availability
Agent DEPARTMENT: Purchasing STATUS: Non-Exempt - Hourly REPORTS
TO: Domestic Purchasing Manager JOB SUMMARY: The live goods
purchasing agent will negotiate the best price for the company,
along with the highest quality and services.ESSENTIAL DUTIES AND
RESPONSIBILITIES: Purchase Order Management
- Checks daily product demand
- Negotiates and manages standard PO (Purchase Orders process to
completion from RFQ (Request for Quote) planning, internal
approval, PO execution, possible change orders, to shipment
tracking and receiving.
- Orders Starter Material / Creates PO
- Confirms PO from Vendor
- Verifies PO before receivingVendor Management
- Schedules and participates in vendor meeting
- Pricing and Terms negotiations
- Manages relationships with the vendors to ensure that they meet
delivery requirements
- Vendor service/performance reporting and correction
- Reporting Product Quality Issues or shortages of product
- Provides forecasts to vendors as needed
- Maintains price lists for vendors using SharePoint
- Verifies Vendor Invoice and submits to Accounting
- Manages and promotes Vendor Availabilities
- Set-up new vendor accounts with AP using Microsoft Dynamics
GP
- Informs the management team of Product Opportunities
- Notifies vendors of any quality issues and creates debits for
shortages and/or damaged goodsQuote/Order Management
- Responds to all the company's Quote Requests
- Checks for orders in Error State
- Checks price, packaging, and pick up times
- Moves Orders to NBFD (Not Being Filled Domestic) with comments
and options when shortOther Duties
- Works closely with Management to plan purchases to support
programs (seasonal purchasing)
- Vendor Travel to the farms and labs
- Other duties as assignedQUALIFICATIONS:
- Two years of college or 2+ years in a similar position
- Horticulture industry experience a plus
- Detail oriented, quick learner, and highly organized
- Good analytical skills with strong technical experience
- Knowledge of Purchase Order process
- Experience with vendor negotiations
- Willingness to learn and apply new concepts and processes
- A problem solver with an open mind for new solutions
- Capable of communicating with all levels of employees
- Able and willing to work after hours when necessary
- Able to travel domestically and internationally to visit farms
and meet with vendors if/when necessary
- Able to lift up to 25lbs; squat, bend, pull and push, and climb
stairsJOB PERFORMANCE STANDARDS:
- Maintains an accurate daily product demand
- Effectively negotiates and manages Purchase Orders, vendor
pricing and stocking
- Establishes and maintains effective vendor relationships
- Accurately maintains vendor and supplier information in
system
- Maintains accurate orders in "error state
- Ensures that orders are moved to NBFD in a timely manner, and
comments/options are added when there is a shortage.
- Maintains updated information in the system on pricing and
